- Include the date, name, title or position of the person you spoke with
- Write a short description of your conversation summarizing what was discussed
- Include any recommendations or actions
- Keep it fact based, concise and legible

- Follow up phone calls with polite letters to confirm information
- Letters can be sent via USPS, fax and email
- Important Letters should be sent 'return-receipt'
- Send letters to calmly and assertively convey your views and information to school personnel
- Send a letter when attempts at phone contact have failed
- Make requests to the school district in writing
- Keep copies of all letters for your binder
